Cancellation Policy

At Alanya Tour, we understand that plans can change. This Cancellation Policy outlines the terms and conditions for canceling bookings and requesting refunds for our tours, transfers, and excursions.

1. General Cancellation Terms

1.1. All cancellation requests must be made in writing via email to info@alanya-tour.com or through our website's cancellation form.

1.2. Cancellations are effective from the date and time we receive your written request.

1.3. Cancellation charges are based on the time between receiving your cancellation request and the scheduled service date/time.

1.4. All refunds will be processed to the original payment method within 14 business days of cancellation confirmation.

2. Standard Cancellation Fees

2.1. **Cancellation 48+ hours before service**:

- Full refund (100% of payment returned)

- No cancellation fee applied

- Confirmation email sent within 24 hours

2.2. **Cancellation 24-48 hours before service**:

- 50% refund of total payment

- 50% cancellation fee retained

- Partial refund processed within 14 business days

2.3. **Cancellation less than 24 hours before service**:

- No refund available

- 100% cancellation fee applied

- Full payment forfeited

2.4. **No-show (failure to appear)**:

- No refund available

- Full payment forfeited

- Service considered consumed

3. Special Tour Cancellation Terms

3.1. **Multi-day tours and packages**:

- Cancellations 7+ days before: 100% refund

- Cancellations 3-7 days before: 50% refund

- Cancellations less than 3 days before: No refund

3.2. **Private tours and VIP services**:

- Cancellations 72+ hours before: 100% refund

- Cancellations 24-72 hours before: 25% refund

- Cancellations less than 24 hours before: No refund

3.3. **Group bookings (10+ people)**:

- Cancellations 14+ days before: 100% refund

- Cancellations 7-14 days before: 50% refund

- Cancellations less than 7 days before: No refund

4. Modifications and Changes

4.1. Date or time changes are subject to availability and considered as partial cancellations.

4.2. **Changes 48+ hours before service**: Free of charge (subject to availability)

4.3. **Changes 24-48 hours before service**: 25% modification fee

4.4. **Changes less than 24 hours before service**: Not permitted; standard cancellation policy applies

5. Weather-Related Cancellations

5.1. If we cancel a tour due to severe weather conditions or safety concerns:

- 100% full refund OR

- Reschedule to an alternative date at no extra charge

- Decision made by Alanya Tour management

5.2. If you choose to cancel due to weather concerns:

- Standard cancellation policy applies

- No special weather exemption unless service is officially canceled by us

6. Force Majeure and Unforeseen Circumstances

6.1. In cases of force majeure (natural disasters, pandemics, political unrest, strikes, government restrictions):

- Full refund if service cannot be provided

- Option to reschedule without penalty

- Notification provided as soon as possible

6.2. If we must cancel or significantly modify your booking due to circumstances beyond our control:

- 100% refund OR

- Alternative tour/service of equal or greater value

- Your choice between refund or alternative

7. Medical Emergencies and Special Circumstances

7.1. Cancellations due to documented medical emergencies:

- Must provide medical certificate or doctor's note

- Evaluated on a case-by-case basis

- May receive full or partial refund at our discretion

7.2. Family emergencies (death, serious illness):

- Must provide supporting documentation

- Compassionate consideration given

- Refund decisions made individually

8. Partial Cancellations (Group Bookings)

8.1. If you reduce the number of participants:

- Changes 48+ hours before: Refund for canceled participants (minus any group discount difference)

- Changes 24-48 hours before: 50% refund for canceled participants

- Changes less than 24 hours: No refund for canceled participants

8.2. If group size falls below minimum requirements, we reserve the right to:

- Cancel the entire booking with full refund OR

- Offer alternative arrangement with possible price adjustment

9. Non-Refundable Services

9.1. The following are generally non-refundable once booked:

- Special event tickets purchased on your behalf

- Government permit fees

- Third-party entrance fees already paid

- Specially arranged private services (custom itineraries, exclusive access)

9.2. These non-refundable items will be clearly marked at the time of booking.

10. Travel Insurance Recommendation

10.1. We strongly recommend purchasing comprehensive travel insurance that covers:

- Trip cancellations and interruptions

- Medical emergencies

- Travel delays

- Personal circumstances

10.2. Travel insurance can protect you from financial loss due to unexpected cancellations.

11. How to Cancel Your Booking

**Step 1**: Send cancellation request to info@alanya-tour.com

**Step 2**: Include your booking reference number and full name

**Step 3**: Receive cancellation confirmation email within 24 hours

**Step 4**: Refund processed (if applicable) within 14 business days

12. Refund Processing

12.1. Refunds are processed to the original payment method:

- Credit/Debit cards: 7-14 business days

- Bank transfers: 5-10 business days

- Cash payments: Available for pick-up or bank transfer

12.2. Bank processing times may vary and are beyond our control.

13. Disputes and Questions

13.1. If you disagree with a cancellation decision, contact us immediately at info@alanya-tour.com

13.2. We will review your case and respond within 3 business days.

13.3. All decisions made in good faith and in accordance with this policy.
